Real-time by definition means that something that happens in one system immediately is shown or used in the other system.  Why is that important though?  Let me give you a few examples:

 

Example 1 – Bye Bye Cash Flow

A customer calls while driving down the road because he has a quick question about an invoice he saw on his account this morning by browsing through your current online portal.  The question is answered easily by your staff member.  Customer says “I updated my credit card this morning in the portal, can you please go ahead and process the payment”  Uh Oh…  Now you have to tell your customer that your current portal is separate from your back office and doesn’t update in REAL-TIME.

 

Example 3 – Why Customers Go To Your Competitors

A customer calls because they see an incorrect payment on their account.  They tell your staff member what the issue is and your productive staff member fixes the issue very quickly.  Your customer wants to see that the issue is fixed while they are in your current portal.  Uh Oh…  Now you have to tell your customer that it will be a while before the current portal updates – can they check back tomorrow –  because it isn’t REAL-TIME.

 

Example 3 – Why Customers Go To Your Competitors 2

A customer calls because they see an incorrect invoice on their account.  They tell your staff member what the issue is and your customer service representative fixes the issue, but wants the customer to verify the invoice is correct.  Your staff member asks can they email the new invoice for approval.  The customer says – I am actually logged into the portal – can I just check it there now?  Uh Oh…  Now you have to tell your customer that it will be a while before the current portal updates because it isn’t REAL-TIME.
